Privacy Policy
How we collect, use and protect the information you give us. Last updated 27 October 2026.
This policy explains what RK Logistics Ltd ("we", "us") does with personal information collected through rklogistics.co.uk. We are the data controller for that information under the UK GDPR and the Data Protection Act 2018.
What we collect
We only collect what you send us. That means:
- Enquiry details. Your name, email address, phone number, the service you asked about, the collection and delivery postcodes, any date you gave, and whatever you wrote in the message box.
- Technical information about the request. When you submit the form, our hosting provider records the IP address it came from. We use it only to limit automated abuse of the form.
We do not use analytics, advertising or social media tracking on this site, and we do not set any cookies of our own.
Why we use it, and on what basis
- To answer your enquiry and quote for the work. The lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
- To carry out the job, if you go ahead. The lawful basis is performance of our contract with you.
- To keep the form usable. Rate limiting by IP address rests on our legitimate interest in preventing abuse.
- To meet our legal obligations, such as keeping accounting records.
We do not send marketing emails off the back of an enquiry, and we never sell or rent your details to anyone.
Who else sees it
Your enquiry is delivered to us by email. To make that work, a small number of processors handle the data on our behalf:
- Cloudflare hosts this website and processes the form submission at the point it is sent.
- Resend delivers the enquiry email to our inbox and the acknowledgement to yours.
- Our email provider, which stores the message once it arrives.
Each is bound by a contract to process the data only on our instructions. Where any transfer outside the UK takes place, it is covered by the appropriate safeguards, such as the UK International Data Transfer Addendum.
We will also disclose information where the law requires it, or to establish or defend a legal claim.
How long we keep it
- Enquiries that do not become jobs: up to 12 months, then deleted.
- Enquiries that become jobs: kept with the job record for 6 years after the end of the relevant financial year, which is what tax and accounting rules require.
- Rate-limiting records: automatically discarded within a few minutes.
Your rights
Under the UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete it, where we have no continuing reason to keep it;
- object to, or ask us to restrict, how we use it;
- receive it in a portable format;
- withdraw consent, where we relied on consent.
To exercise any of these, email info@rklogistics.co.uk or call+44 7912 345678. We will respond within one month.
If you are not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping it secure
The site is served over HTTPS and the form is submitted encrypted in transit. Access to the mailbox that receives enquiries is restricted to the people who need it, and protected by multi-factor authentication.
Changes to this policy
If we change how we handle personal information, we will update this page and the date at the top of it.
